A simple SmartSuite CSV-to-PDF workflow

What to export, what to include, and how to keep a PDF readable when the data began as a table.

A CSV is designed for data transfer; a PDF is designed for people. The simplest way to bridge that gap is to decide what the reader needs before exporting. Use one SmartSuite view for one purpose, then choose only the fields that support that purpose.

    Give the PDF one job

    Choose a single reason for the document: a product handoff, a weekly account summary, an operations snapshot, or a project review. When one file tries to serve every audience, it usually becomes difficult to scan.

    Prepare headings in SmartSuite

    Use headings that make sense outside the workspace. Replace unclear labels like ‘Stage 2’ or ‘Custom Field 8’ with plain language before export. Clean labels reduce the amount of manual formatting you need later.

    Limit fields and records

    Use the fewest fields that still let someone act. Six to eight fields is often enough. If you need more than 50 records, divide the export by category, status, client, or date range rather than making one oversized PDF.

    Generate locally and keep the source

    Use RecordPress to create the PDF from the CSV in your browser. Keep the original SmartSuite view as the source of truth, so future updates start from the same intentional export rather than editing old PDFs.
