Make a clean client summary PDF from SmartSuite

Turn a project, account, or service view into a concise summary your client can actually read.

Client summaries work best when they answer a small set of questions: what is this, what has happened, what is the current status, and what should happen next? SmartSuite may contain many linked records and internal notes, but a useful PDF should be a focused snapshot rather than a database dump.

   Start from the audience

   Make a dedicated view for the specific client or project. Filter it to active work and remove private notes, cost details, and workflow fields that are only useful internally. A client-facing export should stand on its own without a walkthrough.

   Select a predictable set of fields

   A strong basic combination is title, current status, owner, date, short update, and next step. Use short text for the update field whenever possible. If an update requires a long paragraph, make it a separate shared document instead of cramming it into a record PDF.

   Order the records like a story

   Sort by priority, milestone, or date—whichever makes the next action most obvious. Do not use the default table order unless it is already meaningful to the recipient. The order in the CSV becomes the order in the PDF.

   Generate and review before sharing

   Use RecordPress to select the relevant fields and make a locally generated branded PDF. Open the downloaded PDF once before sending it. Check that names, dates, and status labels make sense with no SmartSuite context.
